Need Advice from Designers: Client Asked for Model File, Then Cancelled Project

Hello everyone,

I need some advice regarding a situation I recently faced.

A client posted a public project and I sent a proposal. I completed the requested 3D model, and then the client asked me to send the model file in chat so they could check it before accepting the project.

I delivered the model file, but after that the client stopped responding and later cancelled the project.

I have already reported the issue to support, but I wanted to ask experienced designers here:

1. Has anyone faced a similar situation before?
2. Is there anything else I should do now?
3. Is there any way to protect work after sending files?
4. What type of previews/files do you usually send before payment or project acceptance?

I am relatively new to project work, so I would really appreciate advice from experienced artists to avoid making the same mistake again.

You should never ever start working on the project before you get confirmation that you were selected and the client has prepaid. There's warnings about that all over the place. If you managed to miss that and start working on the project without being selected and even handed the files, then your only hope to get paid is if the client is decent person. Consider this hard learnt lesson and never do the same mistake again.

Yup, LemonadeCG is spot on. I didn´t catch the fact that you sent files BEFORE getting picked and before a deal was made. Send a generic model (or part of one) if the client wants to check the overall quality of your work - but sending final files before a deal is made is asking for trouble. I think most of us have done this, and it's unfortunately often the only way to learn.

This happened to me once when I started working here. If a client asks you to send the files so he can check the quality of the work, just send him screenshots. Once, a client said he was going to start the project but kept delaying, saying I should send him the files and that he would pay ASAP. This went on for over a month. He never prepaid, and I never sent him the files in advance. Therefore, the best approach is to avoid sharing files beforehand.

If you did the project using CGT´s project system, it is protected by the fact that they use escrow - so the client has paid the amount you agreed on up front.
The fact that they cancelled the project (not even sure how you can do that), shouldn't mean anything when it comes to you getting paid, as the money has already been paid to CGT. So CGT support will likely help you get your money.
As for the files you sent: this is very common as it's the only way for the client to check the files and approve them before closing the project.
As someone who has done many projects as a client, I don't think I have ever done a project without getting the final files before approving the project, as it's the only way to make sure that the files actually work and meet criteria.

Thank you for the explanation. In my case, the situation was slightly different. The project was still publicly listed and I had only submitted a proposal. I was not yet confirmed/selected as the designer when the client requested the file for checking. I shared the project file before any confirmation, and later the project was cancelled. So this happened before entering the normal accepted-project workflow. I understand now that sending the full file before confirmation was a mistake on my side, but I also wanted to discuss this because some clients ask for files to verify compatibility/workflow before selecting a designer, and newer freelancers may not know how to handle this situation. Thank you for the advice.
